Packing List Checklist: Match Your Wholesale Order to Its Cartons
A packing list connects the goods to the packages holding them. Check that carton identifiers, descriptions and quantities reconcile with the order, and keep the final version available when receiving the shipment.

Protect & measure
Use the outside dimensions of the final packed carton. Internal dividers and protection depend on the goods.

Trade.gov describes a packing list as a package-by-package record of contents, weights and measurements. For a buyer, it is also a practical receiving reference. The checklist below helps organize that review; confirm the document format needed for your actual shipment with the supplier and forwarder.
Four sections to check
Shipment reference
Identify the order and document version. Make it clear which dispatch the list describes, especially when an order is split across shipments.
Package identifiers
Match carton numbers or marks to the physical packages. Use a clear sequence so the receiver can tell which carton is being checked.
Contents & units
Read the description and quantity in each carton. State pieces, pairs or sets explicitly; keep assorted goods described accurately.
Weights & dimensions
Check units and distinguish per-carton figures from totals. Ask for clarification if a weight or size is missing or still estimated.
A simple receiving example
- 01
Carton 1
The example list records 20 pieces in carton 1.
- 02
Carton 2
The example list records 30 pieces in carton 2.
- 03
Reconcile
The listed total is 50 pieces across two cartons.
- 04
Receive
Check actual carton IDs and counts, then record any difference with photos and the order reference.
Illustrative quantities only. Yumiao packing quantities vary by order; this is not a standard carton configuration.
Keep the references together
- 01
The agreed order
Explains what was purchased and the terms accepted. Use it to understand the intended quantity and assortment.
- 02
The packing record
Explains how that dispatch was packed. Keep it with the order and shipment evidence rather than treating it as proof that every item arrived undamaged.
For random mixed bags, a description of the assortment does not promise specific individual styles or colors.
Buyer questions
What if the received count differs from the packing list?
Record the order reference, carton identifiers and the exact difference. Keep photos and relevant video, then contact the supplier promptly so the records can be compared.
Does this checklist cover every destination’s document requirements?
No. It is a buyer’s review aid. Ask the forwarder which documents and details are needed for the specific product, route and destination.
